Job Description & Requirements

OBJECTIVES

The office and communications administrator supports the National Ski Patrol (NSP)’s national office by managing office operations, including those related to staff functions, maintaining office equipment and supplies, and helping to onboard new employees. This role also manages the budget for office supplies and staff appreciation functions. This position will support and liaise with the National Board of Directors and NSP’s standing committees by assisting with board communications including preparing supporting documentation, assisting in coordinating board, division, and program meetings, and managing the request for action processes and the administrative roster.

 

This role also heavily assists the marketing and communications department, including tasks related to helping to generate, coordinate and distribute communications related to the ski, bike, and outdoor industries. The office and communications administrator position will help maintain and create email distribution lists, assist with planning and scheduling social media posts, support, and track marketing deliverables for NSP partners and assist with internal and external communications.

 

 

RESPONSIBILITIES

 

OFFICE DUTIES:

  • Assist office making travel, transportation and lodging arrangements, event registrations and coordinating calendars
  • Schedule staff meetings, outings, and other gatherings
  • Manage new staff onboarding
  • Maintain orderliness of the office, including the ordering of office supplies and ensuring the full function and capability of all equipment, including telephones, voice messaging, printers, and copy equipment.
  • Work with staff directors on projects and additional tasks as needed

 

COMMUNICATIONS TASKS:

  • Assist with interdepartmental communications
  • Assist in tracking ski, bike, and outdoor industry news
  • Assist with marketing and communications content coordination and distribution
  • Assist with marketing and communications calendar coordination and maintenance
  • Maintain and create email distribution lists as needed
  • Assist with planning and scheduling social media posts
  • Support and track marketing deliverables for NSP partners
  • Assist with internal and external communications.

  

BOARD LIAISON:

  • Communication and coordination with staff leadership and organizational leadership:
    • Prepare meeting packets for the monthly board meetings
    • Administer the NSP meeting calendar, including the organization of all national board and national committee meetings on the national calendar
    • Maintain and distribute call-in information, packets, and minutes as necessary
    • Maintain the posting and updating of minutes and packets to the member website
  • Ensure NSP’s policies & procedures and bylaws are up-to-date
  • Maintain the NSP administrative, program and committee rosters
  • Coordinate national board elections

BONUS SKILLS

  • Prior experience in a marketing or communications role
  • Experience with Constant Contact or similar email service providers
  • Experience with Hootsuite, SproutSocial or similar social media scheduling platforms
  • Passion for, and knowledge of, the ski/bike/outdoor recreation industry

 

REQUIREMENTS

  • 5 years’ experience in customer service and/or office management.
  • Experience working with boards of directors for nonprofit organizations
  • Knowledge of Microsoft Office, Zoom, Team. iMIS knowledge a plus

  

COMPENSATION AND BENEFITS
