Job Title: Office Administrator 

Job Description: 

Tahawus Trails is a full-service trail design, construction, and consulting company that has been  operating in New York State and the northeast for 17 years. 

At Tahawus Trails, our success depends on our people, procedures, and productivity. An office  administrator is a supportive force driving each of these areas, and we’re currently seeking someone  stellar to take the reins. The ideal professional for the role is a flexible problem solver with superb  communication skills and a detail-oriented mindset. They should have prior experience thriving in an  administrative capacity in an office environment, and/or working from home. Multitasking and the  unique ability to deftly handle a range of tasks are essential qualities to bring to the position. This  position is part time to full time, with a compensation range from $40,000 to $80,000 per year,  depending on experience and time commitment to the position. Benefits include 401k and paid time off.  We would consider hiring someone who is interested in being part of our field construction crews for  part of the week, or someone devoted solely to office administration. Someone local is preferred.

Objectives of this Role 

- Ensure general management of the administrative tasks, overseeing operational efficiency,  effective communications, and strategic planning. 

- Supervise administrative staff, accounts payable and receivable, payroll, and facilitation of all  administrative functions and services. 

- Act as liaison between the partners, administrative staff, and all employees, providing  information, answering questions, and responding to requests. 

- Oversee and achieve organizational goals while maintaining an efficient, productive, and  positively cultured office and staff experience 

Daily and Monthly Responsibilities 

- Employee onboarding and human resources 

- Perform a variety of administrative duties, such as generating and distributing reports,  spreadsheets, insurance documents, sorting and distributing incoming mail, and records  management. 

- Maintain information databases; track accounts; oversee the invoice workflow, and assist in  providing other internal documents as requested. 

- Schedule and track meetings and appointments. 

- Assist colleagues whenever there is an opportunity to do so. 

- Oversee company financials; bookkeeping, accounting, 401k and banking, provide tax prep data  and distribute tax return documents. 

- Manage payroll. 

- Manage 401k plan administration. 

Skills and qualifications 

- Proven administrative experience

- Superb written and verbal communication skills 

- Strong time-management skills and multitasking ability 

- Proficient in Microsoft Office (or similar), Quickbooks accounting software, with aptitude to learn  new software and systems 

- Solid interpersonal skills 

- College degree in accounting or business management or equivalent experience ? Previous success in office management 

- Experience managing budgets and expenses 

- Experience developing internal processes and filing systems 

- Comfortable handling confidential information 

- Ability to adapt to changing situations in a calm and professional manner 

- Experience in the field of trail building/construction/landscaping, and especially with prevailing  wage work is a plus 

- Experience managing a 401k plan is helpful but not required
